 Sports Events Project Manager – Badminton Grand Slam 2026

Main Purpose of the Job

The Sports Events Project Manager will lead the end-to-end planning, coordination, and delivery of the Badminton Grand Slam 2026 and other scheduled calendar activities and courses during the June–September 2026 period.

The role holder will act as the central coordinator between internal teams, external service providers, sponsors, volunteers, and participants to ensure a safe, professional, and memorable event experience while adhering to budgets, timelines, and the strategic objectives of the Ghana Badminton Association.

This is a short-term, high-impact role requiring a proactive, detail-oriented, and resilient project manager capable of delivering multiple events within a compressed 4-month window.

Key Responsibilities

  1. Event Planning & Design
  • Develop and implement a master project plan for the Badminton Grand Slam 2026, including timelines, milestones, and deliverables.
  • Define event concepts, formats, and programmes in alignment with GBA’s strategic goals and international badminton standards.
  • Establish event budgets in collaboration with the GBA Treasurer, track all expenditures, and ensure cost control.
  • Plan and coordinate other calendar activities during June–September 2026, which may include:
    • Coaching and umpiring courses
    • Grassroots development workshops
    • Regional qualifying tournaments
    • Sponsor activation events 
  1. Stakeholder & Service Provider Coordination
  • Liaise with internal stakeholders, including the GBA President, Events Committee, coaches, and athletes.
  • Select, negotiate with, and manage external service providers, including:
    • Venue operators
    • Equipment suppliers (shuttles, nets, scoreboards)
    • Catering and hospitality vendors
    • Security and medical services
    • Audiovisual and public address systems
  • Coordinate with sponsors and partners to ensure contractual obligations are met and brand visibility is maximised.
  1. Operational Management
  • Oversee all on-site logistics, including:
    • Venue setup and breakdown
    • Player and official registration and accreditation
    • Match scheduling and flow management
    • Equipment installation and testing
    • Spectator flow and safety protocols
  • Ensure compliance with BWF (Badminton World Federation) rules and local safety regulations.
  • Manage volunteer teams, assigning roles and providing briefings and supervision.
  1. Financial & Strategic Oversight
  • Identify cost-saving opportunities without compromising quality or safety.
  • Track and report key performance indicators (KPIs), including:
    • Participant and spectator numbers
    • Sponsor satisfaction
    • Budget adherence
    • Post-event feedback scores 
  1. Communication & Promotion
  • Collaborate with the GBA Communications team (or external agencies) to execute a marketing and PR plan for the Grand Slam and associated events.
  • Coordinate digital promotion via social media, email, and the GBA website.
  • Ensure clear and timely communication with:
    • Players and teams (registration, schedules, rule updates)
    • Officials and umpires
    • Volunteers
    • Spectators and ticket holders
    • Sponsors and partners
  1. Evaluation & Reporting
  • Collect and analyse post-event feedback from participants, officials, volunteers, sponsors, and spectators.
  • Prepare a comprehensive post-event report within 10 days of event completion, including:
    • Operational successes and challenges
    • Feedback summaries
    • Recommendations for future events
  • Present findings to the GBA Executive Board Chair

Essential Professional Skills

Skill Area Requirement
Project Management Demonstrable experience in end-to-end event planning and delivery, ideally within sports. Ability to use project management tools (e.g., Asana, Trello, MS Project).
Coordination & Logistics Proven ability to manage multiple vendors, venues, and operational streams simultaneously.
Budget Management Experience tracking and controlling event budgets, with strong numerical and analytical skills.
Communication Excellent written and verbal English. Ability to engage confidently with players, sponsors, officials, and volunteers.
Negotiation Experience negotiating with suppliers and managing third-party contracts.

Desirable Skills & Experience

  • Experience with registration systems (e.g., Tournament Software, Ghana Badminton  system, or similar).
  • Knowledge of health and safety requirements for sports events in Ghana.
  • Proficiency in a second language (French/Spanish is an asset for international participants).

Education & Experience Requirements

Requirement Detail
Education Minimum Bachelor’s degree in Event Management, Sports Management, Marketing, Business Administration, or a related field. Equivalent professional experience will be considered.
Experience At least 2–3 years of experience in event coordination or project management, preferably in sports. Experience delivering tournaments or multi-activity programmes is highly desirable.
Technical Proficiency Competent in Microsoft Office (Excel, PowerPoint, Word) and at least one project management or event registration tool.

  3. Operational Safety – Zero major safety incidents during events.
  4. Stakeholder Feedback – Positive endorsements from GBA leadership and sponsors.
  5. Post-Event Reporting – Comprehensive report submitted within 14 days of event completion.

 

Health, Safety & Welfare

The Sports Events Project Manager shall:

  • Take reasonable care for their own health and safety and that of all event participants, staff, volunteers, and spectators.
  • Observe all laid-down systems of work and safety precautions.
  • Use all safety equipment and protective clothing provided.
  • Report immediately to GBA management any dangerous occurrences, unsafe conditions, or defects in equipment or venues.
  • Seek safety advice when uncertain.
  • Cooperate fully with GBA management to ensure a safe working and event environment.
  • Understand and implement all emergency procedures, fire precautions, and evacuation plans for each venue.
  • Attend all mandatory safety briefings and training sessions.
